Recycle Bin
The Recycle Bin keeps a record of anything deleted from your business — contacts, items, accounts, transactions, payments, and more — so you can restore it if it was removed by mistake, or permanently erase it. It's available under Settings > Recycle Bin and requires the Standard plan or higher (it's part of the same module as Backup and Restore).
Finding a Deleted Record
- Go to Settings > Recycle Bin.
- Use the tabs to narrow your view: All, Master Data (Contacts, Items, Accounts, UOM, Tax, Payment Terms, Price List, Attributes), Transactions (Transactions, Payments), or Ledger (Ledger Entries).
- Optionally filter further by Type, a deleted-date range, or the Search box.
Each row shows the record's name, its type, and how long ago it was deleted.
Restoring a Record
- Find the record and click Restore on its row.
- MyBooks checks whether the record can be safely restored:
- If there are no warnings or related records, it is restored immediately.
- If there are warnings, or restoring it will also bring back related records, a confirmation window opens first.
- In the confirmation window, review:
- Warnings — things you should be aware of before proceeding.
- Also restoring — any related records that will be automatically restored along with this one (for example, restoring a deleted transaction may also restore a linked ledger entry).
- If warnings are shown, tick I understand and want to proceed, then click Restore.
If a record cannot be restored at all (for example, because something it depends on no longer exists), the Restore button is disabled and the reason is shown next to the record.
Restoring Multiple Records at Once
- Tick the checkbox next to each record you want to restore, or use Select All to select every record on the page.
- Click Restore Selected.
- MyBooks validates all selected records together and shows a summary split into:
- Records ready to restore.
- Records with warnings (these are still included, but you must acknowledge the warnings first).
- Records that cannot be restored (these are skipped).
- Tick I understand the warnings above if needed, then click Restore [n] Records.
- A results screen confirms how many records restored successfully, how many failed and why, and lists any related records that were also restored as part of the operation.
Permanently Deleting a Record
Only Admin users can permanently delete records from the Recycle Bin.
- Select one or more records, then click Delete.
- Review the list of records that will be removed.
- This will permanently and irreversibly delete the selected records — this action cannot be undone.
- Type DELETE into the confirmation box, then click Permanently Delete.
Once permanently deleted, a record cannot be recovered — it no longer exists anywhere in MyBooks, including the Recycle Bin.
