Data Import and Export
Move data in and out of MyBooks using bulk import (for contacts, items, and transactions) and full backup/restore features.
Importing Data (Data Upload)
Use Data Upload to bring in large amounts of data from spreadsheets — ideal when setting up MyBooks for the first time or migrating from another system.
Supported Import Types
- Contacts (Customers & Vendors)
- Items (Products & Services)
- Transactions (Invoices, Bills, etc. — check the template for supported fields)
How to Import
- Go to Settings > Data Upload.
- Select the Data Type (e.g., Contacts).
- Click Download Template to get a sample spreadsheet with the correct column headers.
- Fill in your data in the template. Do not rename or remove any columns.
- Save the file and click Upload File in MyBooks.
- Map columns if needed — confirm that MyBooks has matched your columns correctly.
- Review the preview for any validation errors (e.g., missing required fields, invalid formats).
- Click Confirm Import. MyBooks imports valid rows and shows a summary of any skipped rows with reasons.
Tips for a Successful Import
- Keep GST Treatment values consistent with what the app expects (e.g., "Registered", "Unregistered").
- For Contacts with both Customer and Vendor roles, set the Contact Type to "Both".
- HSN/SAC codes for items should be numeric strings (no spaces).
- Date fields must be in the
DD-MM-YYYYformat.
Backup and Restore (Data Management)
Data Management lets you create a full backup of your entire business data and restore it if needed.
Creating a Backup
- Go to Settings > Data Management.
- Click Export Backup.
- MyBooks generates a ZIP file containing all your data.
- Download and store the file in a safe location.
We recommend taking a backup before any major data operations (bulk imports, large deletions, etc.).
Restoring from a Backup
- Go to Settings > Data Management.
- Click Import Backup / Restore.
- Upload the ZIP file from your backup.
- Confirm the restore. This will overwrite your current data — use with caution.
Exporting Reports
You can also export individual reports to Excel or PDF:
- Open any Report from the Reports module.
- Click Export and choose the format (Excel or PDF).
This is different from a full backup — it exports only the report data, not the underlying records.
