Price Lists

Price Lists let you set different selling prices for the same item for different customer segments — for example, separate pricing for Retail, Wholesale, and Distributor customers.


How Price Lists Work

Rather than assigning a price list directly to a contact, each Price List declares who and what it applies to — specific items, item categories or groups, specific contacts, contact categories or groups, a quantity range, and/or a validity period. When you add an item to a transaction, MyBooks checks all your active Price Lists and automatically applies the price from the best match.

If more than one Price List could apply, MyBooks uses the most specific one — for example, a Price List scoped to one particular customer takes priority over one that applies to an entire customer category. If no Price List matches, the item's default Selling Price is used.


Creating a Price List

  1. Go to Master Data > Price Lists.
  2. Click New Price List.
  3. Enter a Price List name (e.g., "Wholesale Rate", "Distributor Price") and, optionally, a Description.
  4. Choose how this list sets prices, using the toggle:
    • Mark up/Down: Increase or decrease an item's Item Rate or MRP by a percentage, and/or apply a Discount.
    • Whole Amount: Set an explicit Rate for each item individually.
  5. (Optional) Expand Quantity & Date Filters to restrict the list to a Validity Period, or to a quantity condition (e.g., only when the quantity ordered is Greater than, Lesser than, or Between certain amounts).
  6. (Optional) Expand Item Filters to scope the list to specific items, an Item Category, or an Item Group.
  7. (Optional) Expand Contact Filters to scope the list to specific contacts, a Contact Category, or a Contact Group. Leave these blank to let the list apply to everyone.
  8. If you chose Whole Amount, add each item with its own Rate using the item table.
  9. Click Save.

Updating Price List Rates

  1. Go to Master Data > Price Lists.
  2. Open the price list you want to edit.
  3. Update the rates, markup/discount, or filters.
  4. Click Save. All future transactions will use the new rates — existing saved transactions are not affected.

Tips

  • If no active Price List matches a customer, item, and quantity combination, the item's default Selling Price from the Item master is used.
  • Price Lists do not override manually entered prices on a transaction — you can still edit the price on the transaction form.
  • Use the Status toggle to deactivate a Price List (e.g., a seasonal promotion) without deleting it.
