Audit Report
The Audit Report is a complete change log for your MyBooks account — a record of who created, edited, or deleted what, and when. Use it whenever you need to investigate a discrepancy (a number that looks wrong, an amount that changed unexpectedly) or simply review what your team has been doing.
Access it from Reports > Audit Report.
What it shows
Every row in the Audit Report is a single change event, with these columns:
- Date/Time: When the change happened.
- User: Who made the change.
- Action: Created, Updated, or Deleted, shown as a colored badge (green for Created, red for Deleted).
- Entity: The type of record affected (Invoice, Payment, Contact, Item, Account, and so on).
- Summary: A short description of what happened.
If a change involved editing fields on an existing record, a View Changes button appears on that row. Click it to open a Change Details window showing exactly which fields were changed, with the Old Value and New Value side by side.
Filtering the report
- Go to Reports > Audit Report.
- Set the Date range you want to review.
- Optionally narrow the results with Entity Type (e.g., only show changes to Invoices, Payments, or Contacts) and Action (e.g., only show Deleted records).
- Click Run Report.
The record count at the top right tells you how many matching changes were found. Results are returned in batches — if there are more matches than fit on one page, use the arrows below the table to move between batches. Within a batch, you can still search, sort, and export to Excel/PDF using the table's own toolbar.
Common uses
- Investigating a discrepancy: If an invoice total or account balance doesn't match what you expect, filter by the relevant Entity Type and date range, find the record, and click View Changes to see exactly what was edited and by whom.
- Reviewing team activity: Filter by a date range to see everything your team created, updated, or deleted — useful after onboarding a new team member or after a busy period, to confirm nothing was changed or deleted by mistake.
- Checking a deletion: Filter Action to Deleted to find out who removed a record and when, before deciding whether to recreate it.
